1. International Transfers and Storage of Information

Email and data sent through the website or to GrahamThompson and its Affiliates which term includes GTC Corporate Services Limited may be routed through or stored in the United States or additional jurisdictions other than your home country or the Bahamas. Contact information is maintained in our marketing database to advise our audiences of firm news, events and services, as well as for internal statistical analysis. We will protect the confidentiality and security of such information to the fullest extent that we are able, and as required and permitted by law. While we may forward contact details to appointed agencies that assist us in processing mailings, we will not provide them to any other party for any other purpose, other than as required by law or in response to an investigation by law enforcement or other government agencies.

When you send us your personal information, GrahamThompson and its Affiliates will use your email address and other information to respond to your request and to provide you with information regarding our client services. When you send us a copy of your resume or curriculum vitae, we will use the information contained therein to match you with any relevant opportunity that may arise within GrahamThompson/Affiliates and assess your application.  Unless we obtain your permission, we will not use your email address and information for any other purpose.

If you have signed up to receive our newsletter or to attend a Firm event, we will collect your name and email address and information relating to your marketing preferences. If you no longer wish to receive our newsletter, please email us at info@gtclaw.com requesting removal from the list. We will process the request and notify you upon your removal.

We do not retain any more of your personal information than we believe is necessary for any of these purposes and we do not retain your personal information for any longer than is reasonably necessary to do so.

As GrahamThompson is an international firm, your personal information may be transferred between our servers and offices. By sending us your personal information you consent to us making any necessary cross border transfers of your personal information.

  1. Collection and Use of Information

  1. Data Retention and Storage of Documents etc.

4.1 Subject to any agreement with you to the contrary, during the course of any matter we shall retain such documents including in any medium in which information is recorded, whether on paper, electronically or otherwise (collectively “Documents”) or copies of the same as in our professional judgment it is proper to retain, and for this purpose we may make or keep copies of such Documents and destroy other versions of those Documents. We will retain or destroy data in accordance with our data retention policy or as agreed in writing with you.

4.2 Unless otherwise agreed, we will;

4.2.1    at your request return to you any Documents to which you are entitled;

4.2.2    otherwise retain such Documents relating to the matter or copies of the same, as in our professional judgment it is proper to retain, and for this purpose we may make or keep copies of such Documents and destroy other versions of those Documents;

4.2.3    at your request return to you any property (such as exhibits, plans, etc.) to which you are entitled, and otherwise retain such property as in our professional judgment it is proper to retain.

Provided always that we shall not be obliged to keep such retained Documents or Property relating to your matter for more than six years after completion of the matter. After this time, unless we agree otherwise, we may then dispose of the Documents and Property without further reference to you. If we receive a request from you within six years after completion of the matter, we shall return any retained Documents or Property to which you are entitled.

4.2.4    We do not usually make a charge for retrieving retained Documents or Property in response to continuing or new instructions to act for you. We do, however, reserve the right to make a charge based on the time we spend on “reading” Documents in the file, correspondence or undertaking other work necessary to comply with the instructions. If you ask us to retrieve Documents for a matter on which we are not instructed, we are likely to take a copy for regulatory and insurance purposes and to charge for retrieval and copying. A charge may also be made for any safe custody storage.

4.2.5    We have the right to retain independent contractors to undertake storage of any Documents or Property relating to your matter, whether during the carrying out of the matter or after its completion and whether such Documents or Property are stored in safe custody or otherwise.
